In the business of photography, it’s super important to stay organized and get systems into place early! I’m here to share with you my 3 favorite digital organization tools.

It especially helps to get everything set up before the busy seasons start! Once they start rolling, it can be hard to catch up if you don’t have any systems in place.

Dubsado

This is a client management platform, aka a lifesaver. Dubsado is a program that allows you to do a couple of different things to help you stay organized.

Create calendars

If you go into any of my Mini Session pages on this website, chances are you’ll see a booking calendar. These sign up calendars were made directly through Dubsado! I can create multiple sign up calendars then link them directly into my website, so clients can sign up right there.

On my end, it also helps me to see which sessions I have scheduled for which days. It shows me a monthly calendar with all of my appointments and times.

Emails

I can have Dubsado begin an email chain as soon as a session is booked! I can create the emails ahead of time, then set them to a timer to be send out. Which means I can be out grocery shopping, taking care of my family and I don’t have to worry about being tethered to my email!

Contracts

This program allows me to send out contracts to be signed. It also keeps track of which ones have been signed, need signatures, etc.

Invoices

Instead of having to use Venmo, PayPal, or another way of payment, it can be done directly through Dubsado! The invoice gets created, then gets sent out with an email. The client can pay directly through the link. Easy as pie.

Flodesk

This is an email system that is 1. super cute and 2. houses the emails for my subscribers. Once someone subscribes to my email list, the emails that get sent out were created through Flodesk! It provides a variety of stylish templates that can be customized for your brand.

I do admit, it is a bit of a monthly splurge, but I want my clients to feel valued when they receive my emails. Being a photographer, I obviously appreciate things that look visually appealing. I want to provide my clients with emails that look nice and makes them feel like I took the time to create something nice for them. They’re my VIPS! I also want to provide content that inspires or helps (tips and tricks, behind the scenes, etc.).

Preview App

This app helps me to plan out my Instagram posts. Again, being a visual person, I can be extremely picky when it comes to how things are presented on my behalf. I always want my Instagram looking cohesive and an accurate representation of my photography. The Preview App allows me to upload photos onto an “Instagram grid” and move them around! This is wonderful because I get to see what it would look like before I actually post. It allows allows me to create captions ahead of time and schedule my posts.

Other ones I’ve tried:

Trello – Other photographers swear by this! It is definitely an excellent organization tool that I’ve used. I’ve just found that for myself, I like to have an actual paper to do list in front of me! I like the satisfaction of crossing things off and seeing things on an actual calendar.

Planoly – This one is very similar to my Preview App, except it also has a monthly calendar view of your social media posts. I just found it easier to keep it going with my Preview App since I already had it on my phone.
